Front Office Executive – Administration & Facilities

The role of Front Office Executive – Administration and Facilities shall report to the Senior Executive – Administrative and Office Management or other individuals as dictated from time to time.

In more detail, responsibilities include, but are not limited to:

  • Answer, screen, and forward incoming calls promptly and professionally to the appropriate personnel.
  • Greeting and announcing visitors in a professional manner.
  • Receive and sort daily mail and couriers and organise deliveries.
  • Control access within the office.
  • Perform clerical reception duties such as filing, photocopying, and scanning.
  • Monitoring stationery supplies and place orders as necessary.
  • Logging of outgoing mail and incoming mail.
  • Update calendars and schedule meetings if required.
  • Ensure meetings rooms and board room are clean, organised, and well-maintained.
  • Set up rooms with necessary materials, equipment, and refreshments for scheduled meetings.


Skills and Attributes
  • As a minimum, O Level standard of education.
  • Knowledge of MS Office applications.
  • Have good communication and organizational skills.
  • Experience in a similar role.
  • Be smart and professional appearance.
  • Possess strong, written, and verbal communication skills.
  • Ability to organize, prioritise and work under pressure.
  • Demonstrate resourcefulness in dealing with issues that may arise.
